Work Hours & Schedule
- 40 hours per week, Monday through Friday, generally scheduled between 8:00 AM and 5:00 PM.
- The Property Manager may be asked to attend approximately one after-hours Board of Directors meeting per month, generally between 5:00 PM and 9:00 PM.
- Additional after-hours meetings may occasionally be required based on community or Board needs.
- The position may require response to urgent property-related matters or emergencies as needed.
Essential Duties & Responsibilities
- Oversee the management and direction of assigned on-site staff and vendors.
- Oversee cleaning crews and service providers and document any service deficiencies requiring correction.
- Follow the monthly administrative calendar established by senior management and the Board of Directors.
- Prepare monthly management reports for presentation to the Board of Directors.
- Track work orders and in-house maintenance activity using Blackstone Management’s online management tools.
- Respond to property-related emergencies as needed and coordinate appropriate corrective action.
- Assist with the preparation and coordination of annual meeting materials.
- Conduct interior and exterior inspections of assigned buildings and property areas approximately twice per week and prepare written inspection reports for community records.
- Enter identified maintenance issues into the management system for tracking and corrective action.
- Coordinate repairs involving leaks, mechanical systems, electrical issues, and other property maintenance concerns.
- Perform resale inspections when requested through Blackstone Management’s online system.
- Conduct weekly violation inspections and assist with related letters, notices, forms, hearings, and follow-up.
- Prepare and maintain property maintenance schedules.
- Update maintenance requests within Blackstone Management’s online platform so requesters and Board members can track the status of repairs.
- Develop and maintain procedures for emergency and after-hours repairs.
- Attend approximately one Board meeting per month, generally between 6:00 PM and 9:00 PM, based on the schedule established by the Board.
- Work closely with Blackstone Management’s senior management team to complete assigned projects and responsibilities within established timeframes.
Requirements & Qualifications
Professional Experience
- Minimum of two years of supervisory experience working effectively with staff, vendors, management, and other stakeholders.
- Property management, community association management, real estate, facilities management, or related experience is strongly preferred.
- Demonstrated ability to manage multiple responsibilities and competing priorities.
- Ability to work independently while remaining accountable to senior management and client Boards.
Technical & Communication Skills
- Knowledge of applicable local, state, and federal Fair Housing laws and regulations.
- Strong customer service skills and the ability to work professionally with difficult individuals and challenging situations.
- Ability to communicate clearly and accurately, both verbally and in writing.
- Proficiency with Microsoft Office.
- Ability to learn and effectively use property management software and online management tools.
- Experience with OneSite and I-Docs is preferred.
Financial & Management Skills
- Possess strong financial and accounting acumen.
- Demonstrated ability to read and understand operating budgets.
- Ability to review financial information and conduct basic financial analysis.
- Ability to provide practical written and verbal explanations regarding community financial performance.
- Comfortable reviewing expenses, vendor costs, maintenance activity, and budget performance.
- Strong organizational skills and the ability to maintain accurate records, reports, schedules, and documentation.
