Check Processing Procedures

Please note checks are only able to be processed if received from the Postal Service.
The only way to guarantee on time payment is to pay ACH or by credit card on the website.

    Checks are processed by our office as they are received. As we have no control over the Postal Service we strongly recommend anyone who is able, to utilize the free ACH payment option by logging into the online portal. We have put together a couple of frequently asked questions below that will hopefully explain the check processing procedures used by our company.

    Please note that post-dated checks are not accepted. Checks must be valid and ready for processing when received by our office, as issuing a post-dated check is not permitted.

    To find the correct mailing address for your community or apartment, please log on to the online portal and select “mail a check.” From there, you’ll have all of the needed credentials to mail your check, including the account number and address.

    We process payments on a daily basis however unfortunately we do not have control over the Postal Service so depending upon where you mail your payment from we have seen it take upwards of 30 days to be able to receive it by the Postal Service. We strongly recommend logging on to the online portal and setting up automatic ACH payments which is free.

    When paying through your banks online bill pay they do mail a check on your behalf, this is not an electronic payment that is automatically deposited into your account. This is just like mailing a payment from your home it is subject to the United states Postal Service when it comes to delays. We strongly recommend logging on to the online portal and setting up automatic ACH payments which is free.

    If you’ve mailed your check we strongly recommend waiting at least 30 days to place a stop-payment on it as unfortunately we do not have control over the Postal Service and we find it is taking increasingly longer for them to deliver payments. If your check is over 30 days, please fill out the do not cash request form, and we will do our best to pull it from the processing system when and if it is finally received.

    Please fill out the request form and give as much information as possible. Note just by filling out the request form this does not automatically mean we were able to pull your check from processing if it was mailed to the PO Box this is done automatically by computer system and there’s no way to stop this processing. We do strongly recommend that you wait at least 30 days for your check to be received and processed before filling out the request form.

    ACH (Automated Clearing House) is a network used for electronically moving money between bank accounts across the United States. It’s run by an organization called Nacha (previously NACHA – National Automated Clearing House Association), and may also be referred to as the ACH network or ACH scheme.
